1. Agreement to These Terms

These terms apply to every visitor to the Site and to every person who contacts the Desk, whether by the contact form, by email, by telephone or in person. They also apply to the person who accepts an appointment arranged by the Desk, and to the guardian of a young person whose appointment is arranged.

By submitting an enquiry you confirm that the information you provide is accurate to the best of your knowledge and that you are entitled to provide it. If you contact the Desk on behalf of another person, you confirm that you have that persons permission to share the information needed to arrange the appointment.

These terms operate alongside any practice policy that applies to the clinical visit. Where a practice policy sets a rule that conflicts with these terms on a clinical matter, the practice policy prevails for that matter, because the Company does not provide clinical care and cannot vary clinical obligations.

2. The Nature of the Service

The Company provides dental care coordination. The Desk arranges checkups, hygiene recalls, whitening consults, family appointment blocks, nervous patient clinics and sports guard fittings. It confirms appointments, prepares short briefs for the clinical team, sends recall notices and keeps the appointment record accurate.

The service is administrative and organisational. It is delivered from the practice desk at 5 South Charlotte Street, Edinburgh - EH2 4AN, United Kingdom (GB), and it is available within the business hours published on the contact page. The Desk answers enquiries, proposes appointment options and coordinates the diary so that clinical time is used well.

The Desk does not promise that any particular appointment, practitioner or time will be available. Availability depends on the diary, on the clinical team and on the length of visit that a service requires. Where a preferred option is not available, the Desk will offer an alternative within a reasonable range.

3. The Service Is Not Dental Treatment

The Company is not a dental practice and does not examine, diagnose or treat any condition. All clinical work is performed by the registered practitioner at the practice, and every clinical decision rests with that practitioner. Nothing on the Site should be read as clinical advice, a diagnosis, a treatment recommendation or a promise about an outcome.

Information on the Site about services, intervals and appointments is general and is provided to help you choose the right starting point. It does not replace an examination, and it must not be used to delay or avoid seeking clinical care. If you have a concern about your health, contact the practice directly or seek urgent help through the appropriate medical service.

Where the Desk records a note about access, anxiety or a preference, that note is used only to arrange a suitable appointment and to prepare the brief. It is not a clinical assessment, and it does not bind the practitioner to a particular course of action.

4. Booking and Confirmation

An enquiry is a request, not a booking. A booking exists only when the Desk has confirmed a date, a time, a practitioner and a service in writing. The Desk aims to confirm every request within one working day, and it will always state the service, the slot length and the address in the confirmation.

You are responsible for checking the confirmation and for letting the Desk know promptly if a detail is wrong. This is particularly important for family appointment blocks, where one incorrect time can affect several people, and for guard fittings, where a return visit must be matched to the first appointment.

The Desk may ask for a telephone number or an email address that can be used to reach you before the visit. If the Desk cannot reach you to confirm a detail, the booking may be released so that the slot can be offered to another patient. The Desk will make reasonable attempts before releasing a slot.

Arriving on time helps the whole diary. If you expect to be late, please call the Desk or the practice. A late arrival may shorten the visit or require rescheduling, and the decision on whether to proceed rests with the practitioner.

5. Changes and Cancellations

Plans change, and the Desk expects that. If you need to change or cancel an appointment, please give as much notice as you can. A change made with reasonable notice allows the Desk to offer the slot to another patient and protects the diary for everyone who is waiting.

Where a change is made by the practice, the Desk will contact you as soon as the change is known and will offer two alternative options where possible. If neither option suits, the Desk will keep the request open and look for a further slot within a reasonable period.

A repeated pattern of missed appointments may lead the Desk to review how future bookings are made, because unused slots delay care for others. Any such review will be explained to you in writing, and it will not affect your right to request an appointment.

Any fee that applies to a missed appointment is set by the practice, not by the Company. The Desk will explain the practice rule on request, and it will pass any question about a fee to the practice team.

6. Acceptable Use of the Site

You may use the Site for lawful purposes connected with the coordination service. You must not use it in a way that damages the Site, interferes with another visitor, or attempts to gain access to any system without permission.

The Desk may decline an enquiry or end a conversation where the conduct is abusive, threatening or unlawful. This step is taken to protect the team and the people waiting for care, and it does not remove any right that exists under law.

7. Accuracy of Information

The Site is written carefully, but general information about services, hours and travel can change. The Desk confirms the current details in every appointment message, and the contact page states the hours that are in force. Where the Site and a written confirmation disagree, the confirmation prevails.

You are responsible for the accuracy of the details you provide. An incorrect email address or telephone number may prevent the Desk from confirming a booking or from contacting you about a change. Please tell the Desk straight away if your details change.

If you notice an error on the Site, please write to quotes@yhcsimiles.buzz and describe the page. The Company reviews reports of errors and corrects confirmed mistakes as soon as it reasonably can.

8. Access and Availability

The Site is provided on an as available basis. The Company aims to keep it online and to keep response times short, but it cannot guarantee uninterrupted access. Maintenance, hosting issues or events outside its control may interrupt the Site from time to time.

The coordination service is available during the business hours published on the contact page. Enquiries sent outside those hours are answered on the next working day. The Desk is not an emergency service, and the Site must not be used to report an urgent clinical problem.

If the Site is unavailable, you can still contact the Desk by email at quotes@yhcsimiles.buzz or by telephone on +13095804782. These routes remain open whatever the state of the Site.

9. Links and Third Party Services

The Site may contain links to pages that describe a service or to an email or telephone route. Email and telephone services are provided by third parties, and their own terms and privacy practices apply to those communications.

The Company does not control third party websites and is not responsible for their content, their availability or their handling of personal information. A link from the Site is not an endorsement of everything on the destination page, and you should review the terms and policy that apply there.

If a link on the Site no longer works, please tell the Desk so that it can be corrected or removed. Broken links are treated as a fault to be fixed promptly.

10. Intellectual Property

The Site, its written content, its visual design and its code are owned by the Company or used under permission. They are protected by copyright and by other rights that apply in the United Kingdom and elsewhere. You may read, print and share individual pages for personal and non commercial use.

You must not copy the Site in whole or in substantial part, republish it, sell it or use it to train a commercial system without written permission from the Company. Short quotations with a clear attribution are acceptable where the use is fair and lawful.

The name YHC Smiles Ltd, the practice desk name and any associated marks must not be used in a way that suggests a connection, endorsement or partnership that does not exist. Requests for permission should be sent to quotes@yhcsimiles.buzz.

11. Privacy and Personal Information

The Company handles personal information in accordance with its Privacy Policy, which forms part of these terms. The Privacy Policy explains what is collected, why it is collected, how long it is kept and what rights are available. A summary is not a substitute for the full policy, so please read it before sending an enquiry.

The contact form prepares a message in your own email application. It does not transmit data to a server, and the Site does not store the content of the form. This design is intended to keep the website simple and to reduce the amount of personal information that passes through it.

If you contact the Desk about another person, you must have that persons permission to share their details. The Desk may ask you to confirm this before an appointment is arranged, and it may decline a request where permission has not been given.

12. Limitation of Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for any other liability that cannot be limited by law. These limits apply only to the extent that the law allows.

Subject to the previous paragraph, the Company is not liable for clinical outcomes, because clinical care is provided by the practice and not by the Company. The Company is not liable for a missed appointment caused by traffic, weather, illness or another event that cannot reasonably be avoided.

Subject to the same paragraph, the Company is not liable for indirect or consequential loss, for loss of profit or business, or for loss caused by reliance on general information on the Site rather than on a written confirmation from the Desk. The Company is not liable for the acts or omissions of a third party service that it does not control.

Where liability remains, it is limited to the amount that the Company has received for the coordination service connected with the claim. This limit does not apply where the law forbids a limit.

13. Indemnity

You agree to compensate the Company for reasonable losses, costs and expenses that arise from your breach of these terms, from your misuse of the Site, or from a claim that you had no right to share information you provided. This obligation applies only to the extent that the loss is caused by your conduct.

The Company will tell you promptly about any claim that falls within this section and will give you a reasonable opportunity to respond. The Company will take reasonable steps to reduce the loss and will not settle a claim in a way that admits fault on your part without your agreement.

This section does not apply where the loss is caused by the Company, by the practice, or by an event outside your control.

14. Suspension and Termination

The Company may suspend access to the Site or decline to continue a coordination request where these terms are seriously or repeatedly breached, where the conduct threatens the safety of the team, or where a legal duty requires the step. A suspension will be explained in writing where that is possible.

You can end the relationship at any time by asking the Desk to close your enquiry record. Closing a record does not delete information that the Company must keep by law or that forms part of an appointment that has already taken place.

On closure, the Company will keep only the information it needs for legal, accounting and record keeping purposes and will delete the rest in line with the Privacy Policy.

15. Events Outside Our Control

The Company is not liable for a delay or failure caused by an event outside its reasonable control. Examples include severe weather, a public health emergency, a failure of a utility or telecommunications network, a cyber attack on a shared service, and an industrial dispute affecting a supplier.

Where such an event affects an appointment, the Desk will contact you as soon as it can and will offer a new date. If the event continues for a long period, either side may end the arrangement for the affected booking without further obligation.

The Desk will keep a short written note of the action taken during such an event so that the position is clear to both sides later.

16. Complaints and Escalation

If you are unhappy with the coordination service, please tell the Desk first. Write to YHC Smiles Ltd at 5 South Charlotte Street, Edinburgh - EH2 4AN, United Kingdom (GB), email quotes@yhcsimiles.buzz or call +13095804782. The Desk will acknowledge the complaint, investigate it and reply in writing within the period required by law.

If the complaint concerns clinical treatment, it will be passed to the practice, because the Company does not provide treatment and cannot investigate a clinical matter. The Desk will explain the route and will confirm in writing that the matter has been passed on.

If a complaint is not resolved through these steps, it may be raised with the relevant regulatory or consumer body. The Desk will provide the contact details on request and will cooperate with any enquiry.

17. Governing Law and Jurisdiction

These terms are governed by the law of Scotland and of the United Kingdom as it applies there. The courts of Scotland have jurisdiction over any dispute that arises from them, unless the law gives you the right to bring a claim in another forum.

Before starting a formal claim, both sides agree to try to resolve the matter through the complaints route described above. This step is intended to save time and cost for everyone involved, and it does not prevent either side from seeking urgent relief where that is necessary.

If any part of these terms is found to be invalid, the rest remains in force. The invalid part will be replaced by a term that comes as close as possible to its intended effect.

18. General Provisions

These terms, together with the Privacy Policy and any written confirmation from the Desk, form the entire agreement between you and the Company about the Site and the coordination service. They replace any earlier discussion on the same subject.

A failure to enforce a term on one occasion does not waive the right to enforce it later. A waiver is effective only if it is given in writing and signed by an authorised representative of the Company.

The Company may update these terms when the service changes or when the law requires a different approach. The current version is always available on this page, and a material change will be noted at the top of the page for a reasonable period. Continuing to use the Site after a change takes effect indicates acceptance of the updated terms.

Questions about these terms can be sent to quotes@yhcsimiles.buzz at any time. These terms were last reviewed in 2026, and the Desk will explain any point that is unclear.
